Challenge: Sharing Information and Reporting Across a Global Team

Darlene Rosenkoetter, Global Head of Government Affairs and Public Policy at S&P Global, manages a team that works in the United States, Europe, and Asia. As a result of being spread around the world, her team needed a system to keep track of who each person was meeting with, what updates they had to share on a given issue in their portfolio, and what follow up was necessary. Then, they had to report on their impact to S&P Global’s executive team. “Originally my team was tracking everything in an Excel spreadsheet and that was a painful process. It took a lot of time,” Rosenkoetter said. “It’s really difficult sometimes to quantify the return on investment for government affairs. You can just count the number of meetings and that is interesting but it doesn’t really get to what your actual value is.”

Solution: A Digital Solution for Tracking Meetings and Measuring Your Impact

“Now we use Quorum as our technology tool and we use it for everything. . . . We manage all of our internal communications, our external communications to policymakers, and log all our meetings on this platform.” S&P Global uses this meeting tracking system to follow and report on all interactions, ranging from meetings to email correspondence and stakeholder attendance at S&P webinars.

Individuals Logging Interactions On-The-Go

Every logged interaction from the S&P Global government affairs team includes three key components— 1) identifying what issue was discussed 2) assigning the meeting a quality score and 3) explaining in greater detail what was discussed and any necessary follow-up to the meeting. S&P Global created fields for each of their notes for the issue discussed and the quality score. They measure meeting quality using factors they identified as relevant to them, including the seniority of the person they met with and how that person might be able to support their issues. In the future, they are considering adding a custom field for “Positive, Neutral, or Negative” to describe the sentiment of the meeting. When documenting what was discussed and any necessary follow-up items, team members can mention team members with @name if someone else needs to be notified of necessary action items. A number of Quorum features made adoption of this process easier across the S&P Global public affairs team. First, team members use Quorum’s mobile app for logging meetings on-the-go. [callout align="left" heading="Learn more about Quorum's mobile app." button_text="See the App" button_link="https://www.quorum.us/products/mobile-app/"] “The closer to the meeting that you can log your notes the better,” Rosenkoetter said. “Using the app to record meetings in the cab or outside the meeting has been highly successful. The longer you wait, the more likely you forget something that happened or who was there.” For email correspondence, S&P Global can cc “[email protected]” in the recipients’ field and email correspondence is automatically logged.

Analyzing Meeting Data with Ease

With meetings and interactions logged in Quorum, Rosenkoetter can analyze reports based on a number of variables with ease. Some insights Rosenkoetter and her leadership team look for include whether a key stakeholder has gone too long without an interaction, whether their team is holding a majority of their meetings on one issue in their portfolio while others are neglected, and whether they are having a high percentage of introductory meetings with policymakers but not moving those relationships forward beyond early introductions. After identifying the relevant insights, Rosenkoetter can quickly take the information from Quorum and share it in a way that is meaningful for the organization’s executives. S&P Global uses this meeting tracking system to follow and report on all interactions, ranging from meetings to email correspondence and stakeholder attendance at S&P webinars.

“Once the information is in Quorum, it takes minutes to pull together a several-page slide deck."
Darlene Rosenkoetter, Global Head of Government Affairs and Public Policy at S&P Global

While the tagging system is most critical for reporting because of the ease of sorting by tag instead of scanning through the text of notes, being able to read the notes from team members is also important as it allows S&P Global to take a deeper dive into individual engagements if necessary.

“It’s a really good record,” Rosenkoetter said. “I hate to say it, but in case you ever lose any of your team members for attrition or whatever reason, it establishes a permanent record so you don’t have to go back to someone and say, ‘Hey — what was that meeting about?’”

Impact: Reports for Executives in Minutes

Building Quorum into S&P Global’s Government Affairs Team’s workflow has enabled the team to work smarter and move faster to impact their policy landscape.

The team can work smarter by identifying key insights in minutes based on their engagements. This way they can ensure the work they are doing to engage stakeholders is moving the needle on their issues.

Then, they can move faster to learn from their inputs and share their results with executives.

Overall, Rosenkoetter estimates that it takes approximately 30 minutes per week per team member for them to input their interactions into Quorum, with Quorum’s mobile app speeding up the process as her team members log interactions in cabs or as they wait for their next meeting. With her team making this concerted effort to log interactions, she can then build reports that measure ROI for executives in minutes.

“It’s not a heavy lift in the grand scheme of things and the report that you can pull and you can send to your executives, it looks so cool,” Rosenkoetter said. “It looks like we’re taking this seriously and we can talk business back to the business so it is worth it.”
